As the office manager for the Phoenix location:

  • Consistently model the ABCS mission and core values in interactions with clients, staff, and supporters
  • Receive incoming calls and routes them to the appropriate person. Provides callers with information such as location addresses, company fax numbers, company website and other related information. Take clear, concise, and complete messages and promptly notify associates of calls.
  • Receive guests and direct them to the appropriate person
  • Develop and maintain a system to keep adequate inventory of office supplies to ensure staff have the supplies needed to carry out their job responsibilities
  • Maintain multiple calendars for counselors in order to schedule appointments and update invites with pertinent information
  • Communicate with counseling clients and counselors to ensure session information is accurate and up to date
  • Ensure client payments are processed within the timeline outlined in the procedural manual
  • Process new client paper work and ensure necessary information is available to counselors
  • Has a thorough understanding of operating office equipment such as print/scan/fax/copy machine and postage meter and is able to assist other associates with functions
  • Provide administrative support services for ABCS senior staff and program directors as assigned

 Qualifications

  • Must be a Christian, and in agreement with the Statement of Faith, Mission Statement, Core Values and Guiding Principles of Arizona Baptist Children’s Services.
  • Characteristics sought include knowledge of the Bible, a deep call to ministry, evidence of mature moral values, and a passion consistent with the agency’s mission statement.
  • Candidates for this position must have a high school diploma, a minimum of a Bachelor’s degree is preferred.
  • At least 3-5 years office management experience showing progressively more responsibility is preferred, with a work history that demonstrates the individual’s work ethic, integrity, and specific skill set.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, stenography and transcription, designing forms, and other office procedures and terminology.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Understanding the implications of new information for both current and future problem-solving and decision-making.
  • Requires organizational and multi-tasking skills to manage a busy lobby with a diverse group of clients and maintain timelines on both routine and more challenging tasks.
  • Must have the ability to listen, communicate effectively, analyze and direct clients to the appropriate person in line with ABCS Mission and Core Values and stated.
  • Must have interpersonal abilities to build relationships with and maintain effective communication with co-workers, support staff and ministry partners.
  • Must be comfortable using computers, typing; proficient with Microsoft Word, Excel, PowerPoint, and Outlook (emailing and scheduling).
  • Has previous experience with data entry and ability to learn new database systems. Previous experience with QuickBase preferred.
  • Strong skills in written and oral communication.
  • Must be eligible to obtain and maintain a level 1 fingerprint clearance card through the Arizona Department of Public Safety, have a clear criminal background checks and a clear urine drug screen and TB test.

Salary/Benefits 

ABCS offers full-time and part-time benefits and competitive pay.   

  • Starting salary is up to $18 per hour. Pay rate will be determined based on skills and experience.
  • Full-time employees with Arizona Baptist Children's Service's receive a health benefits package that contributes up to $8,500 of their total annual benefits package, including full medical, supplemental medical, short-term disability and $35,000 of life insurance at no cost.
  • All employees receive seven paid holidays per year and earn paid sick leave. Full time employees will also earn ten days of paid time-off and five personal choice days per year. 
  • Mission Action time (allowing staff to take paid time-off to participate in mission trips, vacation bible school or other similar activities without losing any of their accrued time-off).
